Applicant onboarding

Collect every applicant's documents without the email chase.

Put one link in the job ad or the application page. Each applicant registers, gets their own private portal, uploads their documents, answers your questions and signs your consent form. WorkZerk reminds the ones who stall.

Sound familiar?

The offer is out and the paperwork is not in

They start in ten days. The right to work evidence, the qualification and the two referees are spread across four emails, and one attachment will not open.

Passport scans sitting in a shared inbox

Applicants email their ID to whoever posted the ad. Everyone with access to that mailbox can open it, and nobody remembers to delete it.

Every application arrives in a different shape

One sends a single PDF, one sends twelve photos, one forgets the declaration. Someone has to turn each of them into a file you can read.

How applicant onboarding works in WorkZerk

  1. Step 1

List what an applicant must send

Uploads for ID, right to work and qualifications, questions for referees and availability, and a consent form or declaration to sign. Mark what is required, and save the list as a request pack.

  2. Step 2

    Publish one link

Generate a self-registration link and put it in the job ad, on your website or in the offer email. Each applicant types their name and email and is sent a private link to their own portal.

  3. Step 3

    Review what comes in

Approve each document, or reject it with a reason and the applicant is emailed to send a better copy. Reminders go to anyone who has not finished.

What you can collect from an applicant

  • Photo ID and right-to-work documents
  • Qualifications and licenses, with expiry dates
  • Resume and cover letter
  • Referee names and contact details
  • Signed consent to a background check
  • Police check certificate, if they hold one
  • Signed declaration or privacy notice
  • Supporting documents for a grant or scholarship
  • Answers to your own application questions

One link for an open call

You do not need the list in advance. Anyone who opens the link registers themselves, and registering twice with the same email re-sends their existing link instead of making a duplicate.

ID and right to work kept private

Mark those requests sensitive. The files are stored encrypted, masked for your team, opened only by admins, and every view is recorded with who and when.

Consent recorded properly

Present your consent wording as terms, or as a PDF to sign. Each acceptance records the exact version, the date and time, and a typed name or drawn signature.

Different applicants, different questions

Gate a section on an earlier answer. Someone applying for a driving role is asked for their license, and nobody else sees the question.

A status for each applicant

Set your own statuses, such as documents in or cleared to start. An automation can set the status when a document is approved.

The file follows the person you hire

Everything an applicant sends lands on their contact record. When they become a new starter, what they already sent is still there to build on.

Questions

Does an applicant need to create an account?

No. They type their first name, surname and email on the registration page and are emailed a private link to their own portal. There is no password, and they can come back later to finish.

Is WorkZerk an applicant tracking system?

No. WorkZerk does not post jobs, schedule interviews, or score, rank or shortlist applicants. It collects the documents, answers and signatures you need from each applicant and shows you who has finished. Use it beside your recruitment process, not in place of it.

Does WorkZerk run background checks or contact referees?

No. It collects what the applicant gives you: their signed consent, their referee details, and any certificate they already hold. You run the check and call the referees yourself.

Can I use it for grant, scholarship or program applications?

Yes. Publish one link, ask your questions, collect the supporting documents and a signed declaration. Close the portal on the closing date and the link stops taking registrations. WorkZerk does not score or rank the applications.

What happens to documents from applicants who are not successful?

You decide. You can delete a contact, or set sensitive information to be deleted automatically 30 days, 90 days, 1 year, 5 years or 7 years after a portal closes. Check what you are required to keep before you choose.

How much does it cost?

One plan at $9.95 a month with every feature. 25 applicants can be open at once, with no limit on how many you put through in a year. Above 25 at once, each extra person is 5 cents a day while their link is open. Try it free for 30 days, no credit card.
