Student onboarding

Every student form and placement document in before day one.

Send each student one link. They fill in the enrollment form, upload their ID and placement documents, and sign your code of conduct on their phone. WorkZerk reminds the ones who have not finished and watches the dates on anything that expires.

Sound familiar?

Forty students, forty email threads

The enrollment form goes out as a PDF and comes back as a photo of a printout, a week late, with the emergency contact left blank.

Placement starts Monday and three checks are missing

The hospital or school will not take a student without a current police check and immunization record, and nobody knows who is short until the week before.

The check expired halfway through the year

A working with children check that was fine in February lapsed in August. The spreadsheet did not say so, and the student is still on placement.

How student onboarding works in WorkZerk

  1. Step 1

    Build the student pack once

List what you need: the enrollment questions, uploads for ID and certificates, your code of conduct to sign and an orientation checklist. Save it as a request pack and reuse it for every intake.

  2. Step 2

Add the cohort, or share one link

Import the class list from a spreadsheet and every student gets their own private link. Or publish one self-registration link and let students add themselves. No account, no password, and it works on a phone.

  3. Step 3

    WorkZerk chases, you approve

Reminders go to anyone who has not finished. You approve each upload, or reject it with a reason and the student is emailed to send a better copy.

What you can collect from a student

  • Enrollment form answers and contact details
  • Photo ID
  • Emergency contact and medical notes
  • Police check, with its expiry date
  • Working with children check, with its expiry date
  • Immunization record
  • First aid certificate or prior qualifications
  • Parent or guardian consent forms, signed
  • Code of conduct and placement agreement sign-offs

Placement documents that keep their dates

Require an expiry date on a police check or a working with children check. WorkZerk marks it current, expiring soon or expired, and can email the student before it lapses.

Who is cleared for placement, on one screen

The document compliance report lists students down the side and documents across the top. Only uploads you have approved count. Filter by tag and export it to CSV.

Different students, different paperwork

Put the placement documents in a section that only shows to students who answer that they are going on placement. Everyone else gets the short version.

Consent forms signed on a phone

Upload the excursion or media consent form as a PDF and the parent, guardian or student signs it on their phone. You both get a signed copy.

Private details stay private

Mark a police check or an ID upload sensitive. It is stored encrypted, masked for your team, opened only by admins, and every view is logged.

Orientation as a checklist

Write the orientation as a checklist: read the handbook, watch the safety video, find the fire exits. Students tick steps off and you see how far each one has got.

Questions

Does a student need to create an account?

No. Each student gets a private link to their own portal. They open it on a phone or computer, fill in what you asked for, and can come back later to finish.

Is WorkZerk a student management system or an LMS?

No. WorkZerk collects the forms, documents and signatures you need from each student and tracks what is missing or expiring. It does not deliver courses, record grades or attendance, build timetables or take fees. Your student system stays where it is, and you can export what you collected to CSV.

Does WorkZerk run the police check or working with children check?

No. The student applies for the check in the usual way and uploads the certificate or card. You review and approve it, and WorkZerk tracks the expiry date and can ask for a fresh copy when it is due.

Can a parent or guardian fill it in for a younger student?

Yes. The link goes to whichever email address you add, so for a school student you can add the parent or guardian. They answer the questions and sign the consent forms from that link.

Is there a ready-made student pack?

No. The ready-made packs cover staff and contractors. For students you build your own request pack once, with the questions, uploads and sign-offs you need, and reuse it for every intake.

How much does it cost?

One plan at $9.95 a month with every feature. 25 students can be onboarding at once, with no limit on how many you put through in a year. A bigger cohort is 5 cents a day for each extra student while their link is open. Try it free for 30 days, no credit card.
