Volunteer onboarding

Volunteers signed up, checked and inducted before the day.

Share one sign-up link, or put it on a QR code. Each volunteer registers, uploads their working with children check, signs your code of conduct and ticks off the induction on their phone. WorkZerk chases the ones who have not finished.

Sound familiar?

A sign-up sheet, a spreadsheet and a group chat

Names come in on a paper form at the stall, by email and through a message thread. Someone retypes all of it, and the shirt sizes are wrong anyway.

Whose working with children check is current?

You sighted the cards two seasons ago. Nobody wrote down the expiry dates, and now the committee wants to know that everyone is covered.

Nobody read the briefing

The induction went out as a long email the night before. On the morning, half the volunteers ask where to park and who to report to.

How volunteer onboarding works in WorkZerk

  1. Step 1

    Build the volunteer pack once

Questions for emergency contact, shirt size and availability, uploads for their checks, your code of conduct to sign and the induction as a checklist. Save it as a request pack for next season.

  2. Step 2

Share the link or the QR code

Generate a self-registration link and put it on your website, a social post, or a QR code on a flyer. Each volunteer adds themselves and is emailed a private link to their own portal.

  3. Step 3

    WorkZerk chases, you approve

Reminders go to anyone who has not finished. You approve each check, or reject it with a reason and the volunteer is emailed to send a better copy.

What you can collect from a volunteer

  • Name, phone and address
  • Emergency contact
  • Working with children check, with its expiry date
  • Police check certificate
  • First aid or other certificates, with expiry dates
  • Code of conduct sign-off
  • Induction steps, ticked off as they go
  • Shirt size and dietary needs
  • Availability and preferred roles

One link, no list needed

You do not need names in advance. Anyone who opens the link registers themselves and gets a welcome email with their own portal link. Revoke the link when sign-up closes.

Checks tracked to the expiry date

Require an expiry date on a working with children check. WorkZerk marks it current, expiring soon or expired, and can email the volunteer before it lapses.

Code of conduct accepted by version

Each acceptance records the exact version of the wording, the date and time, and a typed name or drawn signature. Update the code next year and last year's records stay as they were.

Check-in on the day

Turn check-in on and volunteers tap once when they arrive and once when they leave, from the link they already hold. You get a live count and a named list of who is on site. It works with no signal.

Role-specific questions

Gate a section on an earlier answer. Only volunteers who pick first aid are asked for a certificate, and only drivers are asked for a license.

Returning volunteers start ahead

Every volunteer has a contact record that holds what they sent. Next season, a check that is still current counts again, and you only ask for what has changed.

Questions

Does a volunteer need to create an account or install an app?

No. They type their first name, surname and email on the sign-up page and are emailed a private link to their own portal. It opens in the browser on their phone, with no password and nothing to install.

Is WorkZerk a volunteer rostering tool?

No. WorkZerk does not build rosters, assign shifts or track hours. You can ask volunteers for their availability and label each one with a team, site or shift, but the roster itself stays wherever you build it. WorkZerk handles the sign-up, the paperwork and the checks.

Does WorkZerk run the police check or working with children check?

No. The volunteer applies for the check in the usual way and uploads the certificate or card. You review and approve it, and WorkZerk tracks the expiry date and can ask for a fresh copy when it is due.

Does WorkZerk make the QR code?

No. WorkZerk gives you the sign-up link, and you turn that link into a QR code with any QR tool. Print it on a flyer or a sign and volunteers scan it to register.

Is there a ready-made volunteer pack?

No. The ready-made packs cover staff and contractors. For volunteers you build your own request pack once and reuse it for every event or season.

How much does it cost?

One plan at $9.95 a month with every feature. 25 volunteers can be onboarding at once, with no limit on how many you put through in a year. For a bigger event, each extra volunteer is 5 cents a day while their link is open. Try it free for 30 days, no credit card.
