WorkZerk vs Jotform: Forms That Remember Who Filled Them In

A fair comparison of two products that overlap more than they compete with a table you can skip straight to.

Jotform is a great platform. It has been around since 2006, offers thousands of ready-made templates, accepts payments, connects to 150+ apps, and lets you build forms faster than almost anything else on the market. If someone tells you it is bad software, they are probably trying to sell you something.

The more useful question is not "which one is better?" It is "what happens after someone presses Submit?" Jotform is built to collect a response. WorkZerk is built to onboard a person. Those may sound like the same thing until you need to know whether the insurance certificate a contractor sent you in March is still valid in September.

The one difference everything else follows from

In Jotform, the thing you ultimately own is a submission. It becomes a row in that form's table, with a timestamp and whatever the person entered. If the same contractor completes three forms, you end up with three rows in three different tables. Jotform does not inherently know they are the same person.

In WorkZerk, the thing you own is a contact. Every portal you send creates or updates that person's record: what they uploaded, what they signed, when documents expire, what you approved, what you sent back and why. Send them another portal next year and it attaches to the same record. Ask for a new phone number and their record simply gets updated.

That is the fundamental difference. Everything else follows from it.

The comparison table

Jotform's plan names, prices and limits below are from Jotform's published US pricing as of September 2026. Features change, so check the current pricing before deciding.

Legend: ✓ built in · – partly, or possible with a workaround · ✗ not available

WorkZerk Jotform What that means in practice
Building the thing you send out
Build a form with no code ✓ ✓ Both are drag-and-drop. Jotform's builder is deeper.
Thousands of ready-made templates ✗ ✓ WorkZerk provides a worked example you can load and delete. Jotform has a template for almost any form you can think of.
File uploads, text, dropdowns, multi-select ✓ ✓ Both cover the everyday fields.
Calculations, scoring, payment fields, widgets ✗ ✓ Jotform has a large widget library. WorkZerk deliberately does not.
Conditional logic ✓ ✓ Jotform's logic is more granular. WorkZerk gates whole sections and can target sections at specific people, so one portal can cover multiple roles.
A checklist the person ticks off ✓ ✗ Useful for things such as completing an induction, watching a safety video or walking a site. Not every requirement is a file or a sentence.
Take a payment ✗ ✓ If you need to collect money alongside paperwork, Jotform is the better fit. WorkZerk does not currently process payments.
How the person experiences it
No account, no password, works on a phone ✓ ✓ Neither requires people to create an account just to respond.
Save halfway and come back ✓ – Jotform's Save and Continue Later emails a link back to a draft of that form. WorkZerk provides a standing portal you can keep adding to.
One link holding everything you need from them ✓ – You can create a very long Jotform, but you cannot add a new request next month and have the person's existing link automatically show it.
Self-registration link or QR code ✓ ✓ Both work well at a gate or as part of an induction pack.
E-signature ✓ ✓ Jotform Sign is limited by plan (10 signed documents a month on free, 1,000 on Gold). WorkZerk does not meter signatures.
Versioned terms library ✓ ✗ Every version of your policy wording is retained, with each acceptance tied to the version the person actually saw. That is more useful than simply having a signature when you need to prove what was agreed.
The record you keep
A permanent record per person ✓ ✗ WorkZerk's core unit is a contact. Jotform's is a submission row.
One person's answers from different forms in one place ✓ ✗ Three Jotform forms mean three tables. Bringing them back together into one person is something you have to manage yourself.
Answers write back onto the person's record ✓ ✗ Ask for an emergency contact in the portal and it is saved directly to that contact's record.
Import an existing list of people ✓ – Jotform can import rows into a table. Those rows are not people you can then manage through a persistent portal.
Tag, search and filter everyone at once ✓ – Jotform filters within individual form tables. WorkZerk filters across your whole contact list.
Custom fields you invent ✓ – Jotform columns belong to a form. WorkZerk fields belong to the person.
Keeping paperwork current
Expiry date on a collected document, with a live status ✓ ✗ Jotform can store an expiry date as an answer, but nothing then monitors it. The usual workaround is connecting Zapier to a separate expiry-tracking product, another subscription and another place to manage.
Current, expiring soon, expired, at a glance ✓ ✗ A certificate that expired six weeks ago is clearly different from one that is still current.
Automatic chase when something expires ✓ ✗ Reminders are tied to individual documents, so replacing a file starts the reminder cycle again.
Re-ask for things that have no expiry date at all ✓ ✗ Useful for police checks, site inductions, policy sign-offs and WHS refreshers, things that can become outdated even without a printed expiry date.
Approve or reject a submission ✓ ✓ Jotform Approvals can route submissions to approvers and branch workflows. It is more configurable, but also requires more setup.
Reject with a reason and auto-request a better copy ✓ – In WorkZerk this is a button and an email generated for you. In Jotform it requires a workflow you build.
One screen across every form showing who still owes you what ✓ ✗ WorkZerk shows the overall picture: not finished, awaiting approval, expiring soon, or sent back.
Chase people who never opened their link ✓ – Jotform can send scheduled reminders. It cannot tell you whether the address itself is dead, which is a different problem requiring a different solution.
Practical stuff
Free plan ✗ ✓ Jotform's Starter plan is genuinely free: 5 forms and 100 submissions a month. WorkZerk gives you 30 days of everything with no credit card, then moves to paid.
Entry price $9.95/mo $39/mo Jotform Bronze is $39 a month, Silver $49 and Gold $129. WorkZerk is $9.95 a month, or $94.95 a year.
Monthly submission cap None Yes Jotform limits submissions per month and total stored submissions (1,000 a month and 10,000 stored on Bronze). WorkZerk limits active people instead: 25 at the base price, with no annual limit on how many people you onboard (subject to fair use).
A second person in your account ✓ $4/mo ✗ Enterprise This catches people out. Jotform's Starter, Bronze, Silver and Gold plans are single-user. Adding a colleague requires Enterprise. WorkZerk charges a flat $4 a month for each additional user. Jotform's Enterprise pricing starts at $79 per month (per user) with a 5 user minimum.
150+ integrations ✗ ✓ WorkZerk exports CSV from its reports and stops there. If your process depends on Slack, Salesforce, Google Sheets and other apps, Jotform has a major advantage.
HIPAA compliance ✗ ✓ Available on Jotform Gold and Enterprise. WorkZerk does not offer HIPAA.
Anonymous surveys and high-volume public forms – ✓ WorkZerk is designed around named people. If you want 5,000 anonymous survey responses, Jotform is the obvious choice.
Reports, printable and exportable ✓ ✓ Both provide reports and exports. WorkZerk has reports more focused on onboarding: who is outstanding, how long each stage takes, and who never opened their link.

Three forms, three tables

Here is the scenario that makes the difference for most people.

Say you onboard subcontractors. You need a signed safety agreement, a certificate of insurance currency, a white card and bank details for payment. With a form builder, the obvious approach is to create one long form and send it once.

That works the first time. Then the second time comes:

  • The insurance certificate expires in eleven months and someone has to notice.
  • One of the four uploads is a photo of a photo and you need a better copy of that file, not all four again.
  • Six months later you introduce a new policy and need everyone to sign it. You do not want 40 people to re-submit their bank details just to get one signature.
  • A different site manager needs to know who is compliant, but the answer is spread across four tables.

All of this can be done in Jotform with enough forms, enough Zapier and enough discipline. That is the real cost. It is not that Jotform cannot do these things; it is that managing them can become a second job.

WorkZerk exists because a person-based record makes these problems much simpler. You send another request to the portal that already exists, and the person's existing link shows it.

Nothing watches the expiry date

This is the row in the table worth reading twice.

A form builder can certainly collect an expiry date. It is just another date field. The problem is what happens next. A typical form builder does not treat that date as an ongoing status that moves from current to expiring soon to expired, changes your chase list, and automatically reminds the person holding the expired document.

That gap is common enough that people use separate expiry-tracking products alongside their form builder. If your paperwork contains expiry dates, you either buy another tool, build a spreadsheet with conditional formatting, or risk discovering the problem when someone turns up on site with a ticket that expired in April.

WorkZerk handles expiry as part of the document itself. Collecting a document with an important date and then forgetting to monitor that date defeats much of the point.

Expiry dates are literally 'baked into' WorkZerk in all areas of the app.

The second-user problem

This is worth spelling out because it can become an issue at renewal: Jotform's Starter, Bronze, Silver and Gold plans are single-user accounts. Jotform Teams exists, but adding members requires Enterprise.

For a two-person office, that can mean sharing one login, bad for both security and audit trails, or moving to Enterprise pricing. For a one-person business, it does not matter. For a team of three, it can become a significant factor.

WorkZerk charges a flat $4 a month for each additional user. Each person gets their own email and password, while remaining within the same account and audit trail.

Where Jotform is the better answer

Genuinely, and not as a rhetorical move:

  • You need a form today and a template will do. Jotform can have you live in ten minutes. Nothing WorkZerk does is faster than choosing an existing template.
  • You are collecting money. WorkZerk does not process payments. Jotform connects to dozens of payment gateways.
  • Your responses are anonymous or very high volume. Surveys, competition entries and event RSVPs from strangers are a natural fit. A person-centric record adds little if you never need to deal with those people again.
  • You need HIPAA. That is a Gold or Enterprise Jotform conversation, not a WorkZerk one.
  • You live inside other tools. 150+ integrations is a genuine advantage there.
  • You need calculations, scoring or an unusual widget. Jotform's widget library is enormous.

If two or more of those describe your situation, use Jotform. You will probably be happier.

Where WorkZerk is the better answer

  • The same people come back. Staff, contractors, volunteers, members, tenants, franchisees: anyone you expect to deal with again next year.
  • What you collect goes out of date. Insurance, licences, tickets, checks, certifications and policy sign-offs.
  • You have to prove it later. An auditor, insurer, principal contractor or regulator may ask what someone held and when.
  • Chasing is the actual work. If collecting the information is easy but following people up takes your time, that is the part WorkZerk automates.
  • More than one of you needs access without paying for an enterprise contract.

The short version

Jotform is a form builder with a database attached. WorkZerk is a database of people with forms attached.

If answering "who is this submission about, and what else do they owe me?" means checking another form, table or spreadsheet, you may be using the wrong kind of tool. That is not necessarily a discipline problem; it is a data-model problem.

Try both. They are inexpensive enough that an afternoon of testing will tell you more than any comparison table, including this one.

WorkZerk gives everyone you onboard their own portal: forms, documents and signatures behind one link, no logins, with a record for every person that outlives the paperwork. 30-day free trial, no credit card. workzerk.com
