Saving your portal link
Your link is a web address, which works right up until it gets buried in your inbox. There is a better page to save than the one you were sent, and it has a button that does the saving for you.
My portals
At the top of your page, and again at the bottom, there is a My portals link. Open it.
This is your own home page with the company that invited you. It lists every portal they have given you a link to, so you don't need to keep track of a separate address for each one, and it fills in on its own as they add you to more. If they have only asked you for one thing so far, it lists one; the page still works, and it keeps working later.
Each row opens the portal it names. They sit under Open while there is still something you can do, and move to Closed once the company has finished with that round. A closed one stays on the list, so a link that has stopped working tells you why instead of quietly disappearing. Open portals are always listed; a closed one drops off once it is more than 12 months old. A link the company has switched off drops off the list straight away.
The page needs a connection. Unlike your portal pages, it is not saved on your device for offline use.
Your photo
Tap your picture (or the initials in its place) beside the greeting, or open Add your photo under it (it reads Your photo once you have one). Choose Add photo, take a picture or pick one from your phone, and tap Save photo. JPEG, PNG and WebP all work, and a large phone photo is fine because it is shrunk before it uploads. Center your head in the frame; it is cropped to a square for you.
The company sees it beside your name, and the page notes that other people on the same portals can see it too. Change photo replaces it and Remove takes it off.
Saving it, the easy way
At the bottom of the My portals page there is a Bookmark this page box with your address in it and two buttons:
- Share opens your phone's normal share sheet, which is where "Add to Home Screen" and "Add Bookmark" live. This is the quickest route on a phone. It only appears on browsers that support it, so if you don't see it, use Copy link.
- Copy link puts the address on your clipboard. Paste it into your notes app, a message to yourself, or your browser's bookmarks.
You can also tap the address box itself to select the whole thing.
Saving it by hand
Add to Home Screen puts a tappable icon on your phone, like an app. On an iPhone in Safari, tap the share icon, scroll down, and tap Add to Home Screen. On Android in Chrome, tap the three-dot menu at the top right and tap Add to Home screen or Install app. Rename the icon to the company's name so you know what it is in six months.
Bookmark it if you would rather not add to your home screen. iPhone: share icon, then Add Bookmark. Android: three-dot menu, then the star.
Email it to yourself as a backup, with a subject line you will search for later. The company's name plus the word onboarding is usually enough.
Don't rely on an open tab. Phones close tabs to save memory, especially after a restart, and the tab is often gone by the time you need it. A home screen icon, a bookmark or an email survives a restart.
Don't forward your link
Your link is your access, and there is no password behind it. Anything submitted through it is filed under your name.
So don't pass it to a colleague, even one being onboarded for the same thing. They would be filling in your section: your documents, your answers, your signature on the terms. If someone else needs to submit their own paperwork, ask the company to add them.
Removing it later
There is no logout, because there was never a login. Delete the home screen icon, remove the bookmark, or close the tab, and it is gone from your device. If you want the saved offline copy gone too, clear browsing data for the site in your browser settings.
The company can also switch your link off at their end whenever they like. If they do, opening it shows "Link not active" instead of your page. Nothing on your device needs cleaning up; the link stops working.
Switching off any one of your portal links also gives you a new My portals address, so a saved My portals page shows "Link not active" too. You are not locked out: your other portal links still work, and the My portals link on any of them opens the new address. Save that one in place of the old.
