Contact photos

contacts

A photo on a contact record turns a list of names into a list of faces. It helps most when you are approving documents for people you have never met, or checking in somebody you booked through an agency.

There are two ways one gets there: they add it, or you do.

They add it themselves

Anyone you have sent a link to can open their own page, the one listing every portal they are on, and add a photo from the Add your photo section there. They can change or remove it whenever they like.

Nothing prompts them to, so many people never will. That is what the other route is for.

You add it for them

Open the contact from Contacts and look at the circle beside their name at the top of the record. The circle is the control. Click it, pick a file, and Save photo and Cancel appear once an image is ready. There is no separate "Add photo" button.

When there is already a photo, the small cross in the corner of the circle removes it.

It is the same photo either way. Whoever sets it last is what everyone sees.

Where the photo shows

Once set, it appears wherever that person is listed: your contacts list, the people panel on a portal, and their own page. Without a photo you see their initials, taken from their name rather than their company.

What happens to the file

  • It is resized in the browser to about 400 pixels on its longest edge before anything is sent, so a full-size phone photo does not mean a slow upload on a bad connection.
  • Location data is removed. The resize saves a fresh JPEG, which drops the photo's metadata, including any GPS coordinates the phone attached.
  • iPhone photos work when picked through the phone's own photo picker. A file the browser cannot read, such as a raw HEIC copied onto a computer, shows "We couldn't read that image. Choose a JPEG or PNG photo." instead of being stored.

A photo is treated as identity, not as a document. It does not appear in your files, it is not a request, and it never counts toward anyone's progress.

Whether to ask for one at all

A photo of a person is personal data in a way a license number is not, so it is worth a moment's thought.

If it earns its place, say why when you ask: matching a face at the gate is a reason people accept. If it does not, leave it. Nothing in WorkZerk needs a photo to work, and nobody is chased for one.

If you ask for photos as part of onboarding, mention them in your own privacy notice. See data subject rights for where that responsibility sits.

Getting help

If a photo will not upload, the usual cause is a file the browser cannot read. Try a JPEG or PNG saved from the phone's photo app, and if it still fails, contact us with the file attached.
