Starter request packs by country

requests

WorkZerk comes with eight ready-made request packs: one for staff and one for contractors, for Australia, New Zealand, the United Kingdom and the United States. Each one asks for the paperwork most businesses in that country collect before someone starts, so a new portal can be one pick away from a full checklist.

This article lists what each pack asks for. Request packs covers packs in general: building your own, editing asks, and how adding a pack to a portal works.

Where to find them

Open Requests, click Request packs on the title row, and open Start from a template at the top of the page. It is already open if you have no packs yet.

Pick a country to see its two packs, with every ask listed and the optional ones marked (optional). Click Add this pack to copy one into your own packs.

The country shown first comes from your account's time zone, and an account in a European time zone is shown the United Kingdom. If the time zone doesn't say, your account's currency decides, and Australia is shown when neither does. The country you click last is remembered in this browser.

You can also skip the Request packs page. The pack picker on a portal's Requests panel lists every template under Templates: Australia, Templates: New Zealand and so on, below your own packs. Picking one lists its asks, all ticked, so you can untick the ones this portal does not need before you add it. On a portal with no requests yet, the staff and contractor templates for your country are also offered as two buttons, which choose the template in the picker for you.

What adding a template does

  • It makes an ordinary pack of your own, named after the template, such as Staff onboarding (Australia). Add the same template again and the second copy is named Staff onboarding (Australia) 2. Edit, reorder or delete its asks like any other pack; the template itself never changes.
  • Asks are grouped under headings, such as Tax, Super and Bank account for your pay. A heading collects nothing. It names the group of asks under it and carries a line explaining why you need them.
  • Official forms are linked, not copied. Where a government form exists (ATO, Inland Revenue, HMRC, GOV.UK, IRS, USCIS), the ask carries a link to it, so the person opens the form from their portal, fills it in and uploads it.
  • Documents and details that belong to the person are saved to contact fields. A public liability certificate, a Working with Children Check or an ABN is saved to a contact field, so it stays on their record and counts on every portal. If you already have a field with the same name and type, the pack uses it. Otherwise it is created, and a field for a document that expires is set to ask for its expiry date. Two packs that ask for the same thing, such as Emergency contact or Public liability insurance, share one field.
  • When a field can't be made, because you are at the 30-field limit or already use that name for a different type of field, the ask is still added but its answer is not saved to the contact. A Contact field ask becomes a plain Text ask instead. The notice tells you how many asks this happened to.
  • A field of yours that a template treats as sensitive becomes sensitive. If you already have a National police check, DBS certificate, National Insurance number or UTR field, adding a template that uses it marks your field Sensitive, so only admins can view its answers. The notice names each field this happened to, and the change is recorded in the access log.
  • A field of yours that doesn't save to the contact profile is used as it is. If a document field with the same name is set to Don't save answers to the contact profile, the pack still uses it and leaves that setting alone. Documents sent for it do not appear in the Document compliance report until the field saves to the contact profile. The notice names each field this applies to.
  • Role-dependent asks are optional, such as a Working with Children Check, a white card or a DBS certificate. The person can skip them, so each pack works as it is for most businesses. Delete the ones that never apply to you.
  • There are no Terms asks. Add your own contract, handbook or site agreement from your terms library to the pack after you add it.

Uploads marked required below need at least one file before the person can finish. Adding an upload ask to a portal needs two-factor authentication turned on for your account; untick the uploads and the rest can be added without it.

The tables list every ask in the order it arrives, with the headings that group them. Sensitive in the notes means the ask arrives marked sensitive.

Bank and super details are not saved to the contact

Bank details are one ask per part: the account name, the BSB, sort code or routing number, and the account number, plus a Choice ask for the account type in the United States. The five super fund details in the Australian staff pack work the same way. They are plain Text asks, so each answer stays with that portal's request and is not copied onto the person's contact record. If you want one on the record, replace it with a Contact field ask pointing at a field of your own.

Sensitive asks are already marked

Tax forms, super choice and KiwiSaver forms, bank account numbers, super member numbers, proof of the right to work, police and DBS checks, National Insurance numbers and UTRs arrive marked Sensitive: stored encrypted, masked for your team, and viewable only by admins. See Keeping sensitive information private.

After you add one

The documents these packs save to contact fields are the columns of the Document compliance report, so once people start sending them you can see who is cleared across every portal. The Automations for expiring and expired documents chase the certificates that carry an expiry date.

The asks and their wording are a starting point, not advice about what your business is required to collect. Check them against your own obligations and edit the pack to suit.
