Portal files

portals

Requests are what you collect. Files are what you hand out: the site induction, the handbook, the policy PDF, the map of where to park. You attach them to a portal and everyone on it can open them from their own link, with no third-party share to set up and nothing to email around.

Adding a file

Open the portal and expand the Files section. The top half is headed Portal specific files and is for documents that belong to this portal and nowhere else.

Give it a label (optional), choose the file, and click Upload. PDF, PNG, JPEG and WebP are accepted, up to 10 MB each. WorkZerk checks the contents as well as the extension, so a file renamed to .pdf is rejected rather than quietly stored.

A portal holds 200 MB of uploads in total. A usage bar above the list shows how much of that you have used.

Nothing is shown until you say so

Every file you add here starts Internal, which means you can see it and nobody on the portal can. Untick the Internal checkbox on a file's row and it appears on their link. Tick it again and it disappears from their link straight away.

That way a draft, a wrong version, or somebody's confidential paperwork never reaches everyone the moment the upload finishes.

Working with the list

Each row gives you:

  • The label. Click it and type. Leave it empty and the file name shows instead.
  • A description. The line under the label, up to 500 characters. People see it beside the file, so use it for the instruction rather than the file name: "Read before your first shift", "Sign and return page 4".
  • The file itself. Click the file icon to open it in a new tab.
  • Drag to reorder. The dotted handle on the left. People see the files in the order you set, so put the one they need first at the top.
  • Remove. The red cross. This deletes the file from storage and cannot be undone, which is why it asks first.

Reusing a file across portals

Under the upload form is a second section, From your Files library. Click Attach from Files and pick anything from your account's Files library.

These are references, not copies. The file is stored once in the library however many portals point at it, so it does not count against each portal's 200 MB. Renaming it in the library renames it on every portal at once. Detaching it from a portal (the red cross) removes it from that portal only; the library copy stays. Library files carry their own Internal checkbox and also start hidden.

To issue a new version, use Replace file on the library entry. Every portal using it shows the new file without being reattached. The library will not let you delete a file that a portal still uses.

If more than one portal will ever need a file, put it in the library. If it exists only because of this portal, upload it here.

What people see

Near the top of their private link there is a card with a Files column listing everything you have made visible, label first and your description underneath. Each one opens in a new tab, served through WorkZerk rather than a public URL, so removing a file or ticking Internal again cuts off access at once.

Files sit beside Links in that same card. Files are documents WorkZerk holds for you; Links point at something hosted elsewhere. See Portal links.
