Portal links

portals

Links are the other half of Portal files. Files are documents WorkZerk holds for you. Links point at something that lives somewhere else: a Drive folder, a Dropbox share, a training video, a booking page, your own website.

Putting the URL on the portal beats emailing it around. It sits with everything else the person needs, and you can change or remove it without chasing anyone.

Adding one

Open the portal and expand the Links section. Type a label (optional), paste the URL, and click Add.

You do not need to type the scheme. Paste drive.google.com/... and WorkZerk adds https:// for you. Only http and https addresses are accepted. A portal holds up to 200 links.

Nothing is shown until you say so

Every link you add starts Internal: you can see it, the people on the portal cannot. Untick Internal on its row and it appears on their page. Tick it again to hide it. Either change saves straight away.

Working with the list

Each row gives you:

  • The label. Click it and type. Left empty, the raw URL shows instead, and "Site induction video" reads better than fifty characters of query string.
  • A description. The line underneath, up to 500 characters, shown to people below the label. Use it for the instruction: "Watch before your first shift", "Book a slot that suits you".
  • The link itself. Click the icon on the left to open it in a new tab and check it still works.
  • Drag to reorder. The dotted handle on the left sets the order people see.
  • Remove. The red cross, after a confirmation. It removes the link from the portal and changes nothing at the other end.

What people see

Their page carries a card below their requests with a Links column beside the Files one. Each entry shows your label and description and opens in a new tab.

A link is a pointer, not a copy. WorkZerk cannot see whether the destination works or who it is shared with, so if the target is a Drive or Dropbox document, check its own sharing settings. A link that opens for you and asks everyone else to request access is the usual cause of "I could not get in".

When that matters, upload the document as a portal file instead. Then WorkZerk controls access rather than another service.
