Requests dashboard for one portal

requests

A portal's Requests dashboard answers one question: what is still missing. It turns every request on that portal into a scoreboard of how many submissions you expected, how many are in, how many you have signed off, and who still owes you something. It covers one portal; the Requests screen in the sidebar does the same job across every portal.

Finding it

Open Portals, open a portal, and look near the top of the page for a Requests heading with a Show request status button beside it. It appears once the portal has at least one request.

It starts hidden, because most of the time the counts on each request tell you enough. Click Show request status when you are actively chasing. The choice is remembered per portal. Even collapsed, the count next to the heading shows how many submissions are outstanding, and turns orange when there are any.

What the numbers count

The dashboard counts submissions, not requests. One request asked of ten people is ten expected submissions, or ten lines, one per person, each tracked separately.

A request behind a condition produces lines only for the people who can see it, so a question limited to one group does not inflate the count for everybody else.

The tiles

Six tiles run across the top, each one a filter into the table below:

  • All requests. Every expected line on the portal.
  • Needs review. Uploads waiting for you to approve or reject.
  • Received. Lines where something has come in, whatever state it is in.
  • Approved. Uploads you have signed off.
  • Rejected. Uploads you have sent back.
  • Outstanding. Lines still waiting on the person, which is your chase list.

The chart

The donut breaks the same lines down by status, with a slice for each state that has anything in it:

  • Approved. An upload you have signed off.
  • Answered. A text, choice, terms or task request that has been answered. These have no approval step, so they land here and stay here.
  • Needs review. An upload is in, waiting for you to approve or reject it. Review beside it opens that file beside Approve and Reject.
  • Rejected. An upload sent back.
  • Outstanding. Nothing submitted yet, or a task checklist not yet finished.

Click a slice to filter the table to that status, or the middle of the donut to show everything. The center shows the total line count, matching the All requests tile.

The table

Until you pick a tile or slice, the table offers Load all requests. Once it is showing lines, Clear closes it again. Columns are Request, the person, Kind, Submission, Status and Date.

Columns that would carry nothing are dropped. Status only shows on All requests and Received, since every row in the other views would say the same thing, and the Outstanding view drops Submission and Date. Required requests carry a red Required badge, and long answers are trimmed to a preview.

The person column uses the portal's own word for the people you onboard. See What you call your people.

The table shows the first 50 lines. Everything updates live: if someone submits a file while you have the page open, or a colleague approves one, the tiles, chart and table refresh on their own.

Printing a chase list

The Report button above the table opens a printable report in a new tab for whichever view you are on. Print the Outstanding view and you get exactly the list of who still owes what. The report is grouped by person, prints in landscape, and covers every line in that view, not only the first 50.

Three views of the same submissions

  • This dashboard, for one portal: what is in and what is outstanding across everyone you asked.
  • Requests in the sidebar, across every portal: everything waiting on you, whichever portal it belongs to.
  • The Requests tab on a contact, for one person: everything they have been asked and everything they sent. See A contact's request history.
