Private notes for one person
Some things everyone on a portal needs to know. Some things only one person does. Portal notes handle the first. This is the second: a note that appears on one person's link and nobody else's.
Writing one
Open the portal, find the person in the people panel, and expand their row. One of the sections inside is headed with their name, followed by Notes. Open it and type in the box.
It saves when you click out. There is no Save button, and the line underneath says so. Once a note exists, the section header carries a small set badge, so you can see which people have one without opening every row.
The box holds up to 3,000 characters, about half a page.
What they see
Their note sits near the top of their own link, open when the page loads, below any portal notes. Nobody else on the portal sees it, and somebody with no note sees no panel at all rather than an empty one.
The heading is Your notes unless you have renamed it, which you can do per portal under changing the words people see.
Write it as sentences, not as a list. Every line break starts a new paragraph with a clear gap, so a run of short lines comes out spread down the page rather than as the tight list you typed.
It is not live
A change you make appears the next time they open or reload their link, not while they are sitting on the page. If they need to know now, email them.
What to put in it
Anything true for that one person and nobody else:
- Where to be and who to ask for, when it differs from the rest of the group.
- Which of their documents you are still waiting on, in your own words.
- Their particular arrangement: a different rate, a shorter induction, an exemption somebody agreed.
- Something you would rather not put in a request the whole group can see.
It is a note, not a request. Nothing in it counts toward their completion, nothing chases it, and they cannot reply to it. If you need something back, make it a request. See asking for documents and info.
Removing one
Clear the box and click out. The panel disappears from their link and the set badge goes with it. The text is not kept anywhere, so copy it somewhere else first if you may want it later.
Getting help
If a person says they cannot see a note you wrote, check you wrote it on the right portal: somebody on two of your portals has a separate note on each. Otherwise, open a help ticket.
