Portal notes

portals

Portal notes are one block of text that everyone on a portal reads, pinned near the top of their private link. Use them for what you would otherwise put in the covering email and then repeat to each person who missed it: what this onboarding is for, the deadline, who to contact, anything that applies to all of them.

A second box in the same place holds notes only you can see, so your own reminders live beside the portal instead of somewhere else.

Writing them

Open the portal and expand the Notes section. The top box is the shared one. Type into it, then click out of the box (or press Ctrl+Enter) and it saves on its own; there is no Save button. A set badge appears on the section header once either box has something in it, so you can tell from the collapsed view that there is something to read.

Each line break becomes a new paragraph. Press Enter once between points and they come out as separate paragraphs on the reader's side rather than a wall of text. The box holds up to 3,000 characters.

Empty the box and click out, and the card disappears from everyone's link. That is how you retire a note once it has done its job.

What people see

Near the top of their private link they get an amber card with your text in it, headed Important notes unless you have renamed it. It is expanded when the page loads, so nobody has to click to find it.

A change reaches them the next time they open or reload their link. A portal page does not update while someone is sitting on it, so if something is urgent, email them as well.

The internal box

Underneath the shared box is a second one headed Internal - not shown on Portal. Nothing you write there reaches the people you are onboarding, appears on their link, or goes out in an email. Use it for chase notes, decisions, the reason this portal exists, anything you will have forgotten in three weeks. It holds up to 4,000 characters and saves the same way.

Notes for one person, not everyone

Portal notes go to all of them, including people you add later. When something applies to one person only, write it in their own note instead: open their row in the people panel and use the Notes section inside it. They see it as a separate blue card headed Your notes, below the shared notes. See Private notes for one person.

Notes back from them

Portal notes are one way. To give each person a box to write back to you in, see notes from your people.
