Resending and revoking a link

portals

"They say they never got their link" is the most common thing anyone writes in about. The link has not gone anywhere: it is still on their row in the portal, still active, and still works. The job is to get it in front of them again.

This covers resending, sending it another way, and the one case where revoking is the right answer.

Resending

Open the portal, find the person in the people panel, and expand their row. It has an email box filled in with their stored address, and an Email link button beside it. Press it and the same link goes out again.

You can edit the address before you send. Type a different one and that send goes there, without changing their contact record. This helps when their work mail is bouncing and they have given you a personal address for now.

Under the button you can see what has gone out already: Sent with a date and time for a link emailed once, or Last sent with a date, time and a count of sends for one sent more than once, in your account's time zone.

There is a five-minute cooldown per person. Inside it the button reads "Wait 3 m" and refuses, so an accidental double tap does not send four copies. The cooldown is per link, not per account, so you can work down a list of thirty people in a minute.

Two things can stop the button working at all:

  • Your own email address is not verified. The button is disabled, with the tooltip "Verify your email to enable sending". WorkZerk cannot email anyone for you until you verify, so rule this out first. See verifying your email address.
  • You have hit an email cap. The daily limit and the monthly allowance both apply, and a refused send is recorded in Email Activity. See your monthly email allowance.

To send links to a batch of people at once, use Email invites at the top of the people panel. See batched invite emails.

Sending it another way

Next to the send button is a copy icon (Copy link). Press it and the URL is on your clipboard, ready for a text message, WhatsApp, Slack, Teams, or whatever the person reads.

The link works the same however it reaches them. When email has failed twice, stop trying email.

To check the link yourself first, the button on their row named after them (for example Sam's Portal) opens their view in a new tab. A private or incognito window is cleanest, since your own sign-in does not interfere there.

Before you chase one person

Two checks explain most of these, and both are faster than a conversation:

  • Is the portal closed? A closed portal turns off every link at once, so one person reporting a dead link is often the whole portal. Their page says "This portal is closed" rather than anything about them. See the life of a portal.
  • Did the email actually go? The email activity log records every send, including ones refused before they left. If there is no row, it never went.

Revoking

Revoke sits on the same expanded row, behind a confirmation. It takes effect immediately: their URL stops working, and anyone opening it gets a "Link not active" card telling them to ask whoever sent it for a new one. A page they already have open switches to that card too.

Revoking also retires the person's My portals page address, so a forwarded copy of the revoked page cannot reach their other portals. Their other portal links keep working, and the My portals button on any of those pages opens the new address.

Use it when access should end: somebody left, a contractor is off the books, or a link went to the wrong person.

Do not use it to fix an email that did not arrive. If the original email is in their inbox after all, you have killed the link inside it, and now they need a third message from you. Resending the existing link costs nothing and breaks nothing.

Revoking cannot be undone. Pressing Generate link on their row afterward issues a completely new URL for the same person, with the same access, and the old URL stays dead.

Nothing re-issues a link behind your back. A batch of invites leaves a revoked person out, a status email to them carries no link, and self-registering again does not give them one. Getting them back in is always a deliberate press of Generate link.

To clear out several at once, turn on Bulk select at the top of the people panel, tick the rows, and use Revoke selected. It is meant for tidying up a test portal, and it is as final per row as the single button.

Getting help

If a link is confirmed sent, confirmed active, and the person still cannot open it, open a help ticket with the portal name and their email address.
