Sharing your account
Account sharing lets a colleague work inside your WorkZerk account alongside you: building portals, chasing documents, approving uploads, editing contacts. They sign in with their own email and password, so nobody shares a login, and you can take the access back at any time.
The page is Team, at Account, then Manage team. It handles both directions: people you have given access to, and accounts other people have given you.
Inviting someone
Under People with access to your account, type their email address, tick the box confirming you understand the seat charge, and click Send invite. The invite is refused without the tick.
Each person who accepts is added to your subscription as a paid seat at $4 a month (or $38.40 a year, matching whichever interval you are on), billed pro rata from the day they join. While you are on a trial, you can invite up to two people free; when you subscribe, they become paid seats. Adding a payment method lifts the trial cap straight away.
They do not need a WorkZerk account first. The invite email carries a join link that covers both cases: someone new sets a password and joins there and then, and someone who already has an account signs in and accepts instead.
The row shows Invitation sent until they accept, then Has access. The button beside it reads Cancel invitation before they accept and Revoke after, and both ask you to confirm first. An invitation not accepted within 30 days shows Invitation expired. It still holds that address, so cancel it to invite them again.
Limits:
- Up to 25 people with access at once.
- 20 invitations a day.
- Each invite email counts toward your monthly email allowance.
- Your subscription has to be active, or in its trial, to add anyone.
Accepting an invitation
If someone shares their account with you, it appears on your own Team page under Accounts shared with you, with Accept and Decline buttons. A prompt also shows at the top of the app until you deal with it.
Three things have to be true before you can accept:
- Your email address must be verified. Invitations are matched by email, so confirming yours proves the address is really yours. If it is not verified, the page links you to verify it with a 6-digit code, then you accept again.
- Their account has to be in good standing. They pay for your seat, so if their subscription has lapsed the accept is refused, with a note to ask them to check it.
- Both accounts have to be WorkZerk accounts. An invitation from WorkZerk cannot be accepted by an account on another product, and the page says so.
You do not need a subscription to work in their account. Your access is paid for by the account that invited you. The owner gets a notification when you accept.
If you joined from an invite link as someone new, your sign-in also comes with an account of your own that has no subscription. You can look around it but not add anything. To use it for your own work, open Account, where you are shown as a Team member, and click Start a free trial of your own. Your access to the account you joined does not change.
Working in someone else's account
Once accepted, that account keeps a row on your Team page with an Open account button. Click it and you are switched in: the top bar shows whose account you are working in, with an Exit beside it to return to your own. You land on Requests.
Everything you do while switched in belongs to them. Portals you create are theirs, invites go out under their branding, and their contacts are the ones you are editing.
What a teammate can and cannot do
Treat this as full administrator access to the work. Someone switched into your account can create, edit and delete portals, build and archive requests, approve and reject uploads, add and remove contacts, change branding and terms, edit custom fields, and send email from your account. There is no read-only level and no way to limit them to one portal, so invite people you would trust with all of it.
The one thing you can hold back is sensitive information. Each person is an Admin or a Member, set from the list beside their name on the Team page, and everyone starts as an Admin. A Member can do everything above except view sensitive answers (a tax file number, bank details, ID), which stay masked for them, and open sensitive files. See Keeping sensitive information private.
These stay yours, and the app refuses them for a teammate:
- The Team page. They cannot invite anyone else or revoke access.
- Two-factor authentication on your login.
- Deleting the account.
- Exporting your data.
- Confirming a change to your email address.
The Account page and your profile sit in between. A teammate can open them, but the subscription card, account usage, your password and your email address are hidden, and their buttons refuse a teammate.
Sharing does not give you a full audit trail. A portal edited by a teammate looks the same as one you edited yourself. Email is the exception: the Sent by column in email activity records the person who actually sent it.
Ending it
Either side can stop it. As the owner, click Revoke next to the person, then Revoke access to confirm; their seat comes off your subscription. As a teammate, click Leave next to the account, then Leave account. Neither can be undone from the Team page: to bring someone back, the owner sends a new invitation.
Access is checked on every page load, so both take effect on the other person's next click. The same check covers your subscription: if your account stops being in good standing (a trial ending without a card, or a subscription that has ended), everyone you have shared with is switched back to their own account until it is sorted out. Their own billing has nothing to do with it. A failed payment that Stripe is still retrying does not switch anyone out: while the account shows Payment past due, the people you have shared with keep working just as you do, able to view and edit everything but not to create anything new.
Getting help
If an invitation is not arriving, check the address on the row first (it is stored exactly as typed), then cancel and send it again. If it still does not turn up, email [email protected] with the address you invited.
