Active people and your plan allowance

account-and-billing

Your plan is a flat price that includes 25 active people. "Active" is narrower than most people assume, so this is what it means, where to see your number, and what happens above 25.

The rule

Somebody is active while they hold a live link on an open portal. Both halves have to be true.

It is not about how many people are in your contacts, how many documents they have given you, or how long they have been on the books. Three things follow from it.

Contacts are free. A person in Contacts with no portal link does not count. You can import four hundred and be at zero.

They count once. Somebody on six portals is one active person, not six.

Closing or revoking ends it. Close a portal and everybody on it drops out of the count together (their links also stop working until you reopen it). Revoke one person's link and that person drops out on their own. Their contact record and documents stay where they are.

Sample data never counts.

Seeing your own number

Open Account and scroll to Account usage:

  • Active portals. Portals you have not closed.
  • Active people. People holding a live link on one of those, counted once each. Where people are on several portals, it also shows the total across all of them. If you have set your own word for the people you onboard, the tile shows it in brackets.

Both are live readings of the account right now. They are the owner's view, so they are hidden from anybody switched in through account sharing.

What happens above 25

Nothing stops working, and you are never blocked from adding somebody. Above 25, each extra active person costs 5 cents a day, about $1.50 a month each, and only for the days they are active. Twelve people over for a week is 12 × 5c × 7, so $4.20.

Worked examples

Using a 30-day month and the $9.95 monthly price:

Situation Active people For how long Extra that month Total that month
A small team, all onboarded once 18 All month Nothing $9.95
A steady roster on the books 30 All month $7.50 $17.45
One intake of 40, then back to 20 40 14 days $10.50 $20.45
A season of 60 contractors 60 All month $52.50 $62.45
400 people through the year, 25 at a time 25 All year Nothing $9.95

Figures exclude extra users and any tax. On the annual price the same extras apply on top of $7.91 a month. The pricing page has current prices.

The last row is the one to notice. Volume through the year does not cost you money; how many people are open at once does. Four hundred people onboarded a group at a time, each portal closed when that group is done, never costs anything above the base price.

How the count and the charge are taken

The count is taken once a night, and that night's charge is for the number recorded then. Somebody you add and revoke on the same day never reaches a count, and a portal you close in the morning stops costing you from that night.

Paying for extra people

The charge comes out of prepaid credit on your account. Once you go above 25, a section appears under Account usage with your credit balance, what today's count costs, what you have been charged this month, and buttons to add $20, $50 or $100. Adding credit takes you to Stripe to pay, and the credit lands as soon as the payment goes through. Tax, where it applies to you, is added on top at checkout.

When you add someone to a portal and it takes you past 25, WorkZerk tells you on screen with the new count and the price. We also email you the first night you are above 25, and again if you climb back above it after a week or more under. If the count keeps climbing, we email again each time it reaches double the number in the last email, so a self-registration link that fills up quickly does not go unnoticed.

If your credit runs out, the balance goes below zero and we email you. Everybody's links keep working: nobody is cut off part way through onboarding. Add credit to clear the balance.

If you run well above 25 every month and would rather agree a fixed price, email [email protected].

Keeping the number down

  • Close a portal once that round of onboarding is done. This clears everybody on it at once.
  • Revoke a link for somebody who finished early, or who was added and never needed.

Seats are a different thing

The people you onboard hold a portal link, never sign in, and see only their own page. They are what this article counts.

A seat is a colleague who signs in and works in the account beside you. Seats are a line on your subscription and have nothing to do with this allowance. See sharing your account.
